Privacy Policy

CopilotMeet ("we," "us") is committed to protecting your privacy. This policy explains what data we collect, why, and how it's handled — both on this website and in the CopilotMeet desktop application.
1. The short version
CopilotMeet is built local-first. Your documents, meeting audio, and knowledge base are processed and stored on your own device by default. We do not upload your documents to our servers. We do not record or store your meeting audio. If you use Bring Your Own Key (BYOK), your requests go directly from your device to your chosen AI provider — we never see that traffic.
2. Data we collect (website)
- Contact form / email: if you email us, we store that correspondence to respond to you.
- Analytics: we may use privacy-respecting analytics (e.g. Vercel Speed Insights) to understand site performance. No cross-site tracking, no ad pixels.
- Cookies: functional only (e.g. theme preference). No advertising cookies.
3. Data handled by the desktop application
- Local storage: documents you upload, transcripts, and your knowledge base are stored in a local SQLite/LanceDB database on your device. This data never leaves your machine unless you explicitly export it.
- Trial usage (free trial only): during the 7-day / 3-hour free trial, meeting audio is streamed to speech-to-text and LLM providers via our trial broker to provide the service, then discarded — not stored or used for training. Your email and a device identifier are used solely to enforce the trial's fair-use limits and prevent abuse.
- BYOK (after purchase): once you provide your own API keys, requests go directly from your device to the provider you chose (OpenAI, Anthropic, Groq, Deepgram, etc.), governed by that provider's own privacy policy. We do not proxy or see this traffic.
- License activation: your email and a device fingerprint are stored to validate your license and enforce device limits.
4. Payment data
Purchases are processed by Stripe. We do not store your card details — Stripe handles this per PCI-DSS standards. See Stripe's privacy policy.
5. Your rights (GDPR)
If you are in the EU/EEA, you have the right to access, correct, delete, or export your personal data, and to object to or restrict its processing. To exercise any of these rights, email hello@copilotmeet.com. You also have the right to lodge a complaint with your local data protection authority.
6. Data retention
License and trial records are kept for as long as needed to provide the service and meet legal/accounting obligations. Locally stored application data (documents, knowledge base) remains on your device until you delete it — we have no way to remotely delete it, since we don't store a copy.

- Vercel — website & server hosting
- Neon — database hosting (license/trial records only)
- Stripe — payment processing
- Resend — transactional email (license delivery)
- Your chosen AI providers (OpenAI, Anthropic, Groq, Deepgram) — only when you use BYOK or the trial
8. Changes to this policy
We'll update this page if our practices change and note the date above. Material changes will be communicated by email to license holders.
